Terms and Conditions for Huntsville Swim Association (HSA)

1. Membership and Eligibility

  • Registration: Membership is contingent upon completed registration, payment of fees, and, where applicable, active registration with USA Swimming.

  • Code of Conduct: All swimmers and parents must adhere to the HSA Code of Conduct. We maintain a “Safe Sport” environment; bullying, harassment, or unsportsmanlike behavior are grounds for immediate termination of membership.   

2. Financial Obligations

  • Monthly Dues & Meet Fees: Membership dues are billed monthly. Meet entry fees are the responsibility of the member and will be billed according to the meet entry deadlines.

  • Withdrawal Policy: To stop billing, a written notice must be submitted to the HSA office by the [e.g., 15th] of the month prior to departure.

  • Volunteer Requirements: As a member-supported non-profit, families may be required to fulfill volunteer hours (service points). Failure to meet these requirements may result in a “buy-out” fee as outlined in the member handbook.

     

3. Training and Facility Rules

  • Venue Compliance: Members agree to follow all rules set forth by the Huntsville Aquatic Center and any other facilities used for training or competition.

  • Schedule Changes: Practice schedules are subject to change based on pool availability, swim meets, or weather conditions. HSA will communicate changes via [TeamUnify/Email].   

4. Liability Waiver & Medical Release

  • Risk of Sport: Swimming is a physical activity with inherent risks. By participating, you release Huntsville Swim Association, its board of directors, and coaching staff from liability for injuries or loss of property.   

  • Emergency Care: In the event of a medical emergency, you authorize HSA staff to seek professional medical treatment for the athlete if a parent/guardian is not immediately available.

5. Media & Communication

  • Photography: HSA reserves the right to use photos/videos of athletes from practices and meets for the website, social media, and promotional materials.

  • Safe Sport Communication: All communications between coaches and minor athletes will follow USA Swimming’s Minor Athlete Abuse Prevention Policy (MAAPP).
